As a worldwide association, Motorsport Industry Association Ltd (the MIA) provides a network that reaches into every corner of the motorsport business community. Our community of members spans the whole spectrum of international motorsport business, from the largest companies to the smallest private firms and professional members. Our aim is to promote and protect the interests of organisations working in the motorsport and high-performance engineering industry.


This policy relates to members, customers and other stakeholders of the MIA. Although our members are mainly businesses, we do collect and use personal information relating to individuals in order to provide our services to our members. We also collect personal information about individuals who register for our events or to receive our alerts.

How we operate

We operate in line with EU GDPR (May 2018) data protection guidelines.  We are committed to maintaining your personal rights and allow all users to change or withdraw their opt-in options at any time.  We will also advise you on how to complain to the relevant authorities, namely the ICO. 

 

The information that we collect 

This section describes the lawful basis for processing your data and applies to the information about yourself that you choose to provide to us or that you allow us to collect. 


This information could be collected in a number of ways. We may, for instance, collect your information in one of the following ways:

  • From the information you, or your colleagues, provide on our membership application forms or when registering for an event
  • You may provide your contact details when contacting us by phone, email or post, or in person which may include providing your business card
  • You may choose to complete one of our surveys or register your interest in certain types of events
  • By applying for a job, or work experience, with us

The type of information we collect about you could include the following:

  • Your name, email, phone number, job title and business address
  • The information may in some cases include financial information, such as bank details and credit card details
  • In some cases, specific information may be required in order to provide a service suited to your needs such as dietary requirements

This information will be used for:

  • The contractual purpose of managing our membership and providing our services to our members and customers
  • And for the legitimate purpose in carrying out our principal activities of promoting and protecting the interests of organisations working in the motorsport and high-performance engineering industry.
  • In some cases we will have a legal obligation to process personal data, and will do so in order to comply with the law.

 

Why we contact you

Where personal data is collected by the MIA, for instance through the membership process, by registering for an event or simply when making contact with us, you may be asked to indicate your preference regarding the MIA sending you information about our services. If you later change your mind, you are free at any time to amend your preferences, either by following automated links on our emails or simply by contacting us using the contact details stated earlier in this document. 


An important part of our work is communicating with our membership, telling them about our activities and how we are supporting their interests, and seeking their views on current issues.  To do so, we use personal information to keep in touch with individuals within our member organisations, as well as partners and other individuals.


We will use the contact information you have given us to send you important information.  This may be by post, email, text message or telephone.

Sharing personal data with Third Parties

In order to provide the best service to our members and customers, we may share your information with selected third parties, for instance sharing an event delegate list with the event venue, other delegates, speakers, sponsors and organisers contracted by the MIA.

We will never sell your information to any third party. In certain special cases, for example where we have reason to believe that disclosing this information is necessary to identify, contact or bring legal action against someone who may be causing to you, or otherwise injuring or interfering with the MIA's rights, property or operations, other users of this site, or anyone else who could be harmed by such activities, your personal data may be disclosed to the proper authorities.

How we store and process your data

Your account data will be collected stored and processed in the UK only. We take the security of your data very seriously and have therefore put in place the necessary physical, electronic and manual procedures to safeguard and secure the data we hold. We will retain your data for no more than two years, unless we have a contractual obligation with you to hold the data longer, or a legal obligation to do so. Our obligations

We are a data controller.  In relation to the information that you provide to us, we are legally responsible for how that information is handled. We will comply with the Data Protection Act 1998 and the GDPR (2018) in the way we use and share your personal data.  Among other things, this means that we will only use your personal data:

  • Fairly and lawfully
  • As set out in the legislation and this policy
  • To the extent necessary for these purposes

We will process your personal data ourselves as the data processor.  We will take reasonable precautions to safeguard the personal information that you supply.

The MIA may from time to time use your information for marketing, account management or relationship management purposes. The main purpose of this is to provide you with information about goods and services which we think may be of interest to you and/or to maintain any existing relationship we may have with you.

Breaches

We will report any data breaches that have a risk to the rights and freedoms of individuals, to the appropriate authorities, and to anyone affected by the breach, within 72 hours of becoming aware of the breach.  If you have any queries or concerns about your data usage please contact us.

Exercising your information rights and complaints

You have the right to request from us access to your own personal information. This is called a Subject Access Request (SAR). We will process SARs within 30 days. SAR responses are usually free but we reserve the right to charge for excessive or unfounded requests.

You have other rights which include:

  • Right to be informed. This means that we must tell you how we use your data, and this is the purpose of this privacy notice. 
  • Right to request correction. If any data that we hold about you is incomplete or inaccurate, you are able to require us to correct it. 
  • Right to request erasure. If you would like us to stop processing your data, you have the right to ask us to delete it from our systems where you believe there is no reason for us to continue processing it. 
  • Right to object to the inclusion of any information. In situations where we are relying on a legitimate interest (or those of a third party) you have the right to object to the way we use your data where we are using it.  
  • Right to request the restriction of processing. You have the right to ask us to stop the processing of data of your personal information. We will stop processing the data (whilst still holding it) until we have ensured that the data is correct.  
  • Right to portability. You may transfer the data that we hold on you for your own purposes. 
  • Right to request the transfer. You have the right to request the transfer of your personal information to another party.
